ecoDMS License Model

• If you want to use ecoDMS on 5 seats, and 3 users should be able to work with the software simultaneously, you require a license with 3 concurrent connections.
• If you want to have 5 concurrent users at a later date, you can purchase 2 license extensions for your existing ecoDMS license.

The following applies in all cases: 

• ecoDMS Server is installed once on a central computer, server hardware or NAS.
• You can install ecoDMS Client, plugins and addons on any number of devices (seats), irrespective of the number of concurrent connections you purchased.
• You can use ecoDMS as a single-seat solution by installing server and client on one machine, or you can use it in a network with several different devices.

• The list price valid at the time of the first purchase serves as the basis for future license extensions and software upgrades
• Discounts, special conditions or other price variances are not taken into consideration
• Valid for licenses that are purchased directly via an official ecoDMS reseller in the online shop (with the exception of ESD codes)
• Users are only entitled to the LLG if all software upgrades are purchased

The LLG applies to ecoDMS version 14.08 (krusty) and later. Earlier software versions are not included.

alarm_on = This is a previous version. The lifecycle is active but restricted.
snooze = The lifecycle of this version has expired. This version continues to be available for download.
timer_off = The lifecycle of this version has expired.
date_range = This version is under development and is currently not available.

ecoDMS Mobile

ecoDMS mobile is an exception in the lifecycle: The mobile service provided by ecoDMS GmbH and the associated mobile apps are under continual further development. The latest version of ecoDMS mobile is always available for download in the App stores. The functions, services and processes are always in line with the technical development of the latest ecoDMS version. After the lifecycle of an ecoDMS Archive version has expired, ecoDMS can no longer guarantee the functions and services for that specific ecoDMS Archive version. Users have no right for rectification of the ecoDMS mobile version in case of incompatibility with an ecoDMS version after the lifecycle has come to an end. Please note: The mobile apps are available up to and including version 16.09 (eleanor). As of version 18.09 (apu), ecoDMS Mobile has been replaced by the new Web Client with responsive design.

If you want to upgrade from a previous version to a newer version of ecoDMS, you need a new ecoDMS license.

Because of comprehensive innovations, changes and additional functions, you cannot use licenses from previous versions to activate a new major release. Of course, existing ecoDMS licenses will continue to be valid. In combination with a version, a license is unlimited in time. It is up to licensees whether to upgrade to a new ecoDMS version.

We would like to point out that purchasing license upgrades for a preceding version does not enable an upgrade to a new major release. For more details on service and maintenance and support of your ecoDMS version, please refer to the Lifecycle section.

Before each update and upgrade, make sure you create a complete and clean backup. Always install the software according to the official ecoDMS installation guidelines.

The technicians at ecoDMS GmbH will be pleased to offer support with your data transfer if you have a support package.

• After the first installation, ecoDMS is automatically enabled as demo version for the first 60 days. The trial version includes virtually all ecoDMS functions, add-ons and plugins.
• If no license code is entered, the system automatically restricts the functions once the trial period has expired.
• The trial version then becomes the Free4Three version (Community Edition). It may only be used privately by up to 3 users for an unlimited period of time.
• Anyone wanting to use ecoDMS following the trial period and/or with the full scope of functions, requires a license for the full version. This license can be purchased from the ecoDMS online shop. You can easily activate the license in the Settings of ecoDMS Archive.

You may only activate your license for one server instance. If you want to install the license on another server instance or after a new installation, for example, you must deactivate the license first. Then you can reactivate the license on the newly installed server.

Example:
If you want to move the ecoDMS server from a computer to a NAS system, you must first deactivate the license on that computer. Then you can reactivate the freed license on the new server. You can transfer your existing data and settings through the backup and restore function.

The responsible ecoDMS administrator activates and deactivates a license in the settings dialogue box in the ecoDMS client. Refer to the ecoDMS manual for a detailed description of how to activate a license and how to backup and restore your data.

If you cannot deactivate the license according to the instructions in the ecoDMS manual because, for example, you did not deactivate your license as described above, you can request our support staff to reset (deactivate) your license. For this scenario, we offer a free form on our website

When you purchase an ecoDMS license, our archiving solution provides a number of services. Each license you purchase includes a simultaneous client connection and an ecoDMS Mobile App activation (App available up to ecoDMS version 16.09), as well as 10 API connects.

• ecoDMS connection manager:
  • Via the ecoDMS connection manager you can make a connection from the client to your ecoDMS archive. For each ecoDMS license you purchase, you can make one simultaneous connection (= one profile) with your archiving system in the connection manager.
• ecoDMS Web Client:
  • The Web Client requires a license for each simultaneous login. If you, for example, want to use the Web Client parallel to the desktop client, you require 2 licenses.
• ecoDMS API:
  • In order to use the API, you require a free, simultaneous connection to the ecoDMS archive. In order to test the API, you automatically receive a monthly quota of 10 API licenses with each ecoDMS license. These will continue to be available even if you purchase more API connects.
• ecoDMS mobile:
  • The mobile apps are available up to and including version 16.09 (eleanor). As of version 18.09 (apu), ecoDMS Mobile has been replaced by the new Web Client with responsive design.
  • With each ecoDMS license you purchase, you receive one "free" ecoDMS mobile access. If, for example, you have purchased an ecoDMS license with 1 simultaneous connection to the archive, you can establish a connection via the connection manager (or, alternatively, via the API or the Web Client). At the same time, you can install the license number on a smart phone or tablet. Then you can use a simultaneous connection (= 1 profile) on this device at the same time as a client access. If you wish to connect more mobile devices, profiles or clients with your ecoDMS license, you require additional ecoDMS licenses.
  • ecoDMS mobile is an exception in the lifecycle of the archiving solution. Please note the details for ecoDMS mobile in the lifecycle.

Example: If you want to install ecoDMS clients on 10 workstations, of which 6 are always working simultaneously with the software, you need a license for 6 simultaneous connections. You can install the license on your ecoDMS server via the settings dialogue box in the ecoDMS client.

No. You only pay the license fees. These are one-off and depend on the number of simultaneous connections to the archive. If e.g. 4 users are working simultaneously with ecoDMS, 4 one-off licenses are required. There are no additional costs.

Purchasing support is optional at ecoDMS GmbH, not mandatory. You can take advantage of support as you need it.

The low licence fee, of course, cannot include any additional services, such as “support by ecoDMS technicians”. But this has a good reason: “Those who do not require support shouldn’t need to pay for it.”

You can purchase support as you need it in form of a support package with flexible service units at very fair prices.

Purchasing a support package will entitle you to support via phone and email straight from the manufacturer. A modern prepaid principle allows the flexible use and combination of the services you require.
