Erste Schritte mit ecoDMS (burns)

ecoDMS ist ein leistungsstarkes Dokumenten-Management-System, das eine effiziente und sichere Archivierung und Verwaltung von Dokumenten ermöglicht. In dieser Kurzeinführung werden die ersten Schritte erläutert, die für den Einstieg in die Arbeit mit ecoDMS notwendig sind.
Um mit ecoDMS zu starten, müssen Sie die Software zunächst auf den gewünschten Computern installieren. Hierbei ist wichtig zu wissen, dass es sich bei ecoDMS um ein Client-Server-System handelt. Deshalb müssen Sie zunächst die Server-Software auf einem Computer installieren, der als zentraler Speicherort für Ihre Dokumente, Informationen und Konfigurationen dient. Dann müssen Sie die Client-Software auf den Computern der Benutzer installieren, die auf die Dokumente zugreifen möchten.

Die Entscheidung, ob Sie ecoDMS als Einzelplatzlösung oder als Netzwerklösung installieren möchten, hängt von Ihren Anforderungen ab:
  • Als Einzelplatzlösung wird ecoDMS auf einem einzelnen Computer installiert und kann nur von diesem Computer aus verwendet werden. Dokumente werden auf diesem Computer gespeichert und sind nur für den Benutzer zugänglich, der diesen Computer verwendet.
  • Als Netzwerklösung wird ecoDMS auf einem zentralen Server installiert und kann von mehreren Benutzern auf verschiedenen Computern im Netzwerk verwendet werden. ecoDMS kann gezielt auf die eigenen Bedürfnisse eingerichtet werden. Gehen Sie hierzu im ersten Step wie folgt vor:
  • Optionen - Benutzer:
    • Legen Sie Benutzer an: Erstellen Sie im ecoDMS-Client Benutzer, um den Zugriff auf Ihre Dokumente zu steuern. Legen Sie fest, wer auf welche Dokumente zugreifen kann.
    • Vergeben Sie Rollen: Erstellen Sie im ecoDMS-Client Rollen, um Berechtigungen für Benutzergruppen zusammenzufassen. Dadurch können Sie Berechtigungen effizienter verwalten.
    • Legen Sie Berechtigungen fest: Weisen Sie im ecoDMS-Client den einzelnen Benutzern die passenden Gruppen und Rollen (Berechtigungen) zu, um zu bestimmen, wer welche Aktionen auf Dokumente ausführen kann.
  • Optionen - Einstellungen:
    • Richten Sie Ordner und Dokumentenarten ein: Legen Sie im ecoDMS-Client Ordner und Dokumentenarten an, um Ihre Dokumente besser organisieren zu können. Unterscheiden Sie dabei unbedingt zwischen Ordnern und Dokumentenarten.
      • Beispiele für Dokumentenarten sind: Rechnung, Lieferschein, Vertrag, Police, Steuererklärung, Mahnung usw.
      • Beispiele für Ordner sind: Lieferanten, Kunden, Versicherungen, Mitarbeiter usw.
    • Einfache Strukturen: Wir empfehlen, die Strukturen von Ordnern in ecoDMS möglichst flach und einfach zu halten, um die Übersichtlichkeit und das schnelle Wiederfinden von Dokumenten zu erleichtern.
