ecoDMS Build 25.01: Enhanced Template Designer for e-Invoices & XML Data for Automatic Classification and Archiving

ecoDMS GmbH is releasing a new update for the document management system ecoDMS with Build 25.01. The main focus is the updated Template Designer, which is not only more powerful and easier to use, but also offers greater flexibility. The new feature for targeted creation of templates for e-Invoices enables even better document recognition and classification through intelligent evaluation of XML data.

The update is now available for all interested parties and customers.

Automated Document Classification with Enhanced Features in the Template Designer

The updated Template Designer helps users create individual Classification Templates. These ensure that documents are automatically recognized, correctly categorized, and – depending on the settings – immediately archived when imported into the archive.

New Template Options – Especially for Electronic Invoices

  • With the setting "Only apply for e-Invoices", a template is used exclusively for electronic invoices.
  • The option "Apply to all e-Invoices" ensures that the template is automatically applied to all e-Invoices – regardless of keywords or layout.
  • Also new: with the update, all readable XML data from an e-Invoice can be used for classification in the template.
  • The XML data is available as possible values for pre-classification as soon as a valid e-Invoice with XML is detected. This makes the automatic recognition and storage of e-Invoices even more reliable.

Flexible Attribute Population for Even More Control

Depending on the field type (e.g., text, date, folder), content can be automatically adopted from different sources:

  • File name of the archived document
  • XML data from e-Invoices
  • Text recognition (OCR) from marked areas in the document
  • Manual entry via the classic free-text field

Individually Usable Free-Text Fields

Free-text fields can be manually filled with any text. In addition, these fields can also be automatically populated with additional values:

  • with the file name
  • values from the XML of an e-Invoice
  • recognized text sections via OCR

Multiple values can also be used simultaneously when populating the attribute.

Automatic Folder Assignment

ecoDMS can automatically assign documents to the appropriate archive folder based on XML or OCR data – for a structured and efficient filing system.

Automatic Date Field Population

Important information such as invoice date or due date can be automatically read:

  • from the XML file
  • via OCR
  • using predefined values
