Your purchased ecoDMS licenses are valid indefinitely. This means you can continue to use the software in the purchased version permanently and without ongoing license costs. Only the period for updates is regulated:

• Free updates: When purchasing, you choose an update period of 24 or 48 months. During this time, all functional updates, security improvements and bug fixes are available to you free of charge.
• After the period expires: The software remains fully functional. However, you will no its longer receive new updates, and the version will no longer be actively supported by the manufacturer.
• Flexible extension: You can seamlessly extend the update period with a grace period of +/- 3 months. Upon extension, you can freely adjust the number of your concurrent connections. Add-ons are available independently of this.

At ecoDMS, you decide for yourself which services you need. In order to keep the software licenses permanently affordable, technical support is optional – you only pay for what you actually need.

• Flexible support: If required, you can book a support package at any time and get direct contact with the manufacturer. Billing is fair and transparent based on actual usage.
• Free help around the clock: For independent problem-solving, our extensive knowledge base, the official YouTube channel, as well as detailed manuals with tips, FAQs and step-by-step instructions are available to you free of charge.

Licensing is not based on the total number of your employees, but exclusively on the concurrently active connections (concurrent users). This makes usage maximally flexible and transparently plannable for companies:

• Active access: The number of your licenses determines how many people can actively work in the system at the same moment.

When you purchase an ecoDMS license, various services of the document management system are available to you. Per purchased license, one concurrent client connection and 10 API connects are included.

ecoDMS Connection Manager
Via the ecoDMS Connection Manager, you establish the connection to your ecoDMS on the client side. Per purchased ecoDMS connection, you can connect one concurrent connection (=one profile) in the Connection Manager with ecoDMS at a time.

ecoDMS Web Client
For the Web Client, one license is required for each concurrent login. If you want to use the Web Client parallel to the Desktop Client, for example, you require 2 licenses.

ecoDMS API Rest Service
To use the API, a free, concurrent connection for ecoDMS is required. To allow you to test the API, you automatically acquire a monthly quota of 10 API connects with each concurrent ecoDMS connection. These remain active even when purchasing additional API connects.

Each ecoDMS license is bound to one server instance. If you change or reinstall the server, you can easily take your license with you:

• Transfer license: First deactivate the license on the old system (e.g., PC) and then activate it on the new server (e.g., NAS).
• How it works: The administrator can control the activation directly via the ecoDMS Client. Data and settings move comfortably along via data backup.
• Support assistance: Should deactivation not be possible at any time, our support team will be happy to help via the free online deactivation form.
