ecoDMS GmbH looks back on a successful year 2022, with approx. 20,000 satisfied customer, more than 1,500 resellers, a highly successful in-house trade fair, excellent projects, and knowledge building in “artificial intelligence”, “workflow”, and “business process optimization”. In addition, the Aachen-based company is offering first insights into its plans for 2023. Users can look forward to many new features arising from the increased integration of artificial intelligence as well as ecoDMS cloud solutions.

Another year is coming to an end. With more than 1,500 resellers and approximately 20,000 customers across all business sectors and sizes, ecoDMS is ending a highly successful business year 2022.

“Simply digital”: This was the motto for the first ecoDMS in-house exhibition on May 10, 2022. The virtual in-house exhibition was a great opportunity for visitors to obtain information and exchange ideas about digital management and processing of documents, and business process automation. The interesting topics, conversations, and presentations convinced the audience and turned the in-house exhibition into an overall successful event for ecoDMS GmbH and its guests.

During the past year, the team at ecoDMS has doubled down on its of efforts of researching artificial intelligence. AI research is moving the boundaries of current technological standards in document classification, computer vision, data analysis and extraction.

With the release of ecoDMS build 21.12, ecoDMS has already presented its first results at the beginning of the year. This version of the document management system is able to detect and read several different barcodes anywhere in a document. This state-of-the-art barcode recognition enables convenient, automatic document assignment and archiving.

Significant investments into our research capacities now enables continual integration of state-of-the-art technologies into our “Smart Cloud Solutions”. Brand new technologies can speed up and simplify business processes and decisions severalfold.

Today, it is content and not the documents themselves that are in the focus of daily work. Managing directors, accountants, or team assistants in a company rely on information contained in documents for their further actions. When is the next invoice due for payment and what amount is it? To which account must the amount be transferred? Is this document already archived? These are only a few examples which can be significantly optimized using artificial intelligence.

In this context, ecoDMS has extended its infrastructure over the past months, expanding its development capacities and recruiting new team members with a PhD from research institutions in the field of AI.

In 2023, ecoDMS users can look forward to brilliant new AI features:

A scanner app based on AI is on the roadmap. This will save the walk to the document scanner. Traditional incoming mail can then be digitized using the smart phone, which is used to photograph the document. The ecoDMS app recognizes the exact document outlines, aligns it, reads out the data, and transfers the data to ecoDMS for processing and archiving.

To save storage space and avoid archiving the same document multiple times, a duplicate recognition controlled through AI will check every incoming document. The system accesses text and image data, and checks whether the same document is already archived in ecoDMS.

AI will also assign the appropriate document type in ecoDMS. Based on existing collected data, ecoDMS recognizes whether a document is an invoice, an agreement, a delivery note, or similar. During classification, the AI then automatically assigns the matching document type. Thanks to this knowledge, other workflows and processing procedures are automatically triggered and speeded up.

This is only a small extract of the many possibilities offered by artificial intelligence. Some new features will already be presented next year.
